Vendors of synchrotron radiation (SR) products and services are invited to submit an application to exhibit at the 31st Annual SSRL Users' Meeting, which will be held here at SLAC on Wednesday-Friday, October 20-22, 2004. The event will begin on Wednesday, October 20th with a day of concurrent workshops, followed by a reception from 5-7 pm. The formal part of the meeting and the scientific sessions will be held on Thursday and Friday, October 21-22nd. This annual meeting, which traditionally involves approximately 300 participants, provides a valuable opportunity for staff, users, vendors and other colleagues from the scientific and synchrotron radiation community to interact and discuss the latest technology and the science made possible with newly installed SPEAR3 equipment. Exhibits will be set up in the lobby area of the Panofsky Auditorium. The exhibit fee is $750 and space is limited, so sign up early!

Exhibit Details:

  • Each vendor will be assigned an exhibit space which consists of a draped table (60" x 30") and two chairs. All exhibit material MUST FIT within this space. Please provide a description of all exhibit materials including dimensions and weight estimates of tabletop exhibits. (If arranged in advance, it may be possible to accommodate slightly larger exhibits at an additional cost.)
  • Each exhibiting company will be allotted badges for two exhibitors. Exhibitor badges should be worn throughout the meeting, and exhibitor badges confer the same privileges as regular meeting attendees, including admission to all sessions, receptions, and refreshments (including lunch on Thursday and Friday as well as the awards banquet on Thursday, October 21st). Additional persons accompanying the exhibit must register as meeting participants on the Registration Web Page. (add link to reg page when available)
  • Electricity and network connections are limited, so please your request these in advance to determine if arrangements can be made. Include a description of lights or equipment needing electricity and the watt/amps needed. If electricity or network connections are pre-arranged, please bring any extension cords, power strips, and cables that you may need. Late requests for electricity and connectivity will NOT be accommodated.
  • Exhibit move-in times are Wednesday, October 20th 3-5 pm. (Alternatively, exhibits may be set up on Thursday, October 9th 7-7:30 am.)
  • Exhibits officially open on Wednesday, October 20th at 5 pm. Exhibitors are invited and encouraged to participate in the post-workshop/pre-registration reception which will be held in the auditorium lobby and patio on Wednesday, October 20th from 5-7 pm.
  • There are parking areas close to the meeting and exhibit locations (see map attached). Exhibitors wishing to pull up and unload exhibit material outside of the auditorium will need to inform us in advance as the loading area is limited and set up will need to be pre-arranged.
  • Exhibits can also shipped in advance and stored for up to 5 days prior to the meeting at no additional charge.   • Exhibits can be removed after 6 pm on Thursday, October 21st, or from 1-4 pm on Friday, October 22nd.
  • A deposit of one-half of the exhibit fee is required to hold exhibit space. Final payment must be received by September 14, 2004.   • Neither meeting organizers, management, contractors, nor facility staff assume responsibility for any merchandise or display material which may become lost, stolen or damaged, under any circumstances. Exhibitors must carry their own insurance.
